Policies and Procedures

Health and Safety Policies and Procedures

Allergies

Allergy details are collected during registration. Parents must inform us of any food allergies, bee sting sensitivities, medication allergies, or other relevant concerns


Medications

We require written permission from a parent or guardian before administering any medication. Medications must be brought in a labeled container and will be stored securely. Staff will log each dose given, noting the time, dosage, and who administered it.


First Aid

A fully stocked first aid kit is always available and checked weekly. At least one staff member certified in First Aid and CPR is on site at all times.


Emergency Contacts

Each child must have at least two emergency contacts listed on their registration form.


Sick Campers

Children who have a fever, are vomiting, or show signs of a contagious illness will be sent home. Our illness policy is clearly outlined and shared with all families at the start of camp.


Accidents and Incidents

If a child is injured or involved in an incident, we will complete a report and notify the parent or guardian on the same day.


Supervision and Security

Authorized Pickup

During registration, parents must list all individuals who are authorized to pick up their child. If a staff member does not recognize the person, a photo ID will be required before the child is released.


Sign In and Sign Out

Each day, parents or guardians must sign their child in and out with a time and signature.


Unauthorized Pickups

If someone who is not listed as an authorized pickup person arrives, staff will contact the child’s parent or guardian for verification before releasing the child.


Late Pickups

Parents will be charted a fee of $25 per half hour when they are late to pick their children up.


Staff to Camper Ratio

We maintain age-appropriate supervision. For younger children, there will be a minimum of one adult for every six campers.


Ongoing Head Counts

Staff conduct regular head counts throughout the day—especially during transitions, outdoor play, and meals.


Entry and Exit Safety

There will be a single supervised entry and exit point for drop-off and pickup.


Staff Identification

All staff will wear name tags or matching shirts to ensure they are clearly identifiable.


Bathroom Safety

Children are never left alone. We follow a two-deep supervision model or buddy system that maintains safety while respecting privacy.


Secure Space

All indoor camp spaces are locked during the day to prevent unauthorized entry and ensure camper safety.

Food and Snack Safety

Nut-Free Policy

To protect children with allergies, our camp may operate as a nut-free environment. This will be confirmed prior to the start of camp.


Hand Washing

Campers are required to wash their hands before eating, after using the bathroom, and after outdoor activities.


Snack Ingredients

If snacks are provided by the camp, they will be clearly labeled with all ingredients.


Personal Snacks

Children’s snacks and lunches must be clearly labeled and kept separate to avoid cross-contamination.

Fees and Accessibility

Camp Fees
The cost of camp is $300 per camper, per week for full days or $150 per week for half days. This includes all programming, materials, supervision, and daily activities.  We also offer a la carte options for families who would like to schedule their children for one day or one half day.  Please speak to us about a custom schedule for you.


Sliding Scale
We believe every child should have the chance to attend camp. If cost is a barrier for your family, we offer a sliding scale. You can request financial assistance during registration, and we’ll follow up confidentially to arrange a rate that works for you.


Physical & Emotional Accessibility
Our staff is committed to creating a welcoming, inclusive environment for all children. If your child has physical, developmental, sensory, or emotional needs that we should be aware of, please let us know during registration. We’ll work with you to make accommodations wherever possible.


Safe & Affirming Environment
Sunbeam Summer Camp is a space where all children are valued and respected. We welcome campers of all races, genders, family structures, and identities. Our goal is to foster belonging, joy, and safety for every child who joins us.
